The Customers page in WizeBooks

The Customers list shows every customer with their open and overdue balances. Click a customer's row to open their own page.

The top of the page

The Customers title bar and stat band
The Customers title bar and stat band
  1. Search filters the list as you type.
  2. New customer adds one (see Adding a customer). Its menu also has Import customers (see Importing customers).
  3. Customer Credit (receipt icon) opens the list of credits you owe customers. It isn't in the menu; see Customer Credit.
  4. More options: print or export the list, and choose what it shows (see below).
  5. The stat band: Total customers, Open invoices and Open balance (sent and not yet due), and Overdue invoices and Overdue balance (past their due date with money still owed).
The More options menu
The More options menu
  1. Show inactive brings customers you've made inactive back into the list.
  2. Show stat bar hides or shows the band of figures across the top.

The rest of the menu (Print, Export to Excel or CSV, Columns, Page size and Row height) works the same on every list. See Working with lists.

The list

The customer list with one row ticked

  1. Name: the customer's display name. Click the row to open their page.
  2. Email: their main email address.
  3. Phone: their phone number.
  4. Pending Estimates: estimates sent or drafted but not yet accepted, declined or converted.
  5. Open Invoices: how many of their invoices still have money owing.
  6. Open Balance: everything they still owe on their invoices, overdue included.
  7. Overdue Balance: what they owe on invoices past their due date.
  8. The tick box selects a customer. The box in the heading selects every customer on the page.
  9. Batch actions (n) appears once customers are ticked. Send statements emails each of them their statement (see Emailing statements), and Make inactive makes all of them inactive in one go, after asking you to confirm.
  10. Copy email: hover a row and click the copy icon to copy the address.
  11. The row's ⋮ menu (below).

Headings with arrows sort the list. Click once for A to Z or smallest first, again to reverse.

  3. Send statement emails them their statement (see Emailing statements).
  4. Edit opens their details in the customer form.

Adding a customer

The New customer form
The New customer form

The form is split into folding sections. The icons along the top jump to each one.

  1. Name and contact: company name, first and last name, email, phone, mobile, fax, other and website. Cc and Bcc keep extra addresses for this customer, separated by commas. Is a sub-customer files this customer under another one, such as a job under a client.
  2. Addresses: the billing address, and a shipping address that's the same as billing unless you untick it. Add another shipping address keeps more than one.
  3. Payments: their Primary payment method (Cash, Check, Credit card, Wire payment or Other) and their Terms (Due on receipt, Net 15, Net 30 or Net 60), which set the due date on new invoices.
  4. Notes and attachments: private notes and files, such as a signed contract.
  5. Additional info: tick This customer is exempt from sales tax, and add their Tax ID and a Customer Type. The tax ID is stored encrypted and shown as its last four digits; an owner or admin can click Reveal to see it all.
  6. Custom fields: any customer fields you've set up. + Add custom field creates one (see Custom fields).
  7. Relationships & Sales: how they found you (Source), who referred them, their job title and role, how they prefer to be contacted, their industry and social media links.
  8. Create saves the customer. It's greyed out until there's a name.
  9. Customer display name is the only field you must fill in. It's the name shown on lists, invoices and reports.

A customer's page

A customer's page: title bar, stat band and tabs
A customer's page: title bar, stat band and tabs
  1. Search looks within the open tab.
  2. Create starts something for this customer (below).
  3. More options sets the open tab's columns, page size and row height.
  4. The stat band: this customer's Credit balance (credit you owe them), Open invoices, Open balance, Overdue invoices and Overdue balance.
  5. The tabs. Sales lists their sales receipts and the bank deposits categorized to them. Invoices, Subscriptions, Estimates and Credits list their own documents. Statement is their account statement, and Activity shows every change to this customer and their transactions.

‹ Customers, at the top left, goes back to the list.

The Create menu
The Create menu
  1. New invoice, already filled in with this customer.
  2. New sales transaction: a sales receipt for a sale paid on the spot.
  3. New estimate.
  4. Apply credit uses credit you already owe them against one of their open invoices. You choose the invoice.
  5. Add credit issues a new credit memo to them (see Customer credit).

The profile column

The customer's profile column
The customer's profile column
  1. Switch customer: click the name to jump to another customer's page.
  2. Fold narrows the column to a thin rail to give the tabs more room. Click it again to open it.
  3. All changes saved: the column has the same sections as the New customer form, and saves as you type. This line confirms it.
  4. The section icons jump to each section.
  5. Click a section's heading to open or fold it.
  6. Change to vendor is for a contact set up as the wrong kind. Their sales come along. If they already have estimates, invoices or credits, WizeBooks says what's in the way and offers to make a matching vendor instead.

The Invoices tab

A customer's Invoices tab
A customer's Invoices tab
  1. All, Overdue, Draft, Sent and Paid filter the list by status.
  2. The date filter sets the range. It starts at This year.
  3. A row's ⋮ menu: View invoice, Receive payment (when money is still owed) and Void invoice.

Tick rows to use Batch actions, the same batch edit as the Invoices page. The Estimates, Sales and Credits tabs work the same way, each with its own filters.

The Statement tab

A customer's statement
A customer's statement
  1. The date filter sets the statement's period.
  2. Print prints the statement on its own, without the rest of the page.
  3. Email sends it to the customer (see Emailing statements).
  4. Download saves it as a CSV file.
  5. Opening balance: what they owed at the start of the period.
  6. Closing balance: what they owe at the end of it.

Each line in between is an invoice (a debit, which adds to what they owe) or a payment or credit (which takes it down), with the running Balance. Click a line to open it. A negative balance shows as a credit: you owe them.

Emailing statements

Emailing a statement
Emailing a statement

Send a statement from a customer's Statement tab (the envelope button), from their row's ⋮ menu, or to many customers at once by ticking them and choosing Batch actions › Send statements.

  • To is the email on their profile. For one customer you can change it before sending. Their Cc and Bcc addresses are copied in too.
  • Statement period sets the dates the statement covers. From the Statement tab it starts at the tab's own period.
  • The email shows the balance they owe and lists each open invoice with a View & pay link. The full statement is attached as a PDF, with the balance forward, every invoice, payment and credit in the period, and the balance due.
  • In a batch, customers without an email address are skipped and listed when the rest have gone.

Each statement is sent from your company name, and a reply goes to your company email.

Importing customers

Importing customers
Importing customers

Coming from another accounting app or a spreadsheet? Choose New customer › Import customers and drop in a CSV or Excel (.xlsx) file with one customer per row and a header row on top. Download a sample file gives you one to fill in.

  • Name is the only column you need. Company, First name, Last name, Email, Phone, Mobile, Website, Terms and the billing address (Street, Street 2, City, State, Zip, Country) are read too, and the common names other apps use for them (such as "Customer full name" or "Billing city") work as well.
  • A customer whose name is already in WizeBooks is skipped, never changed.
  • When it's done you see how many were added, and each row that was skipped or couldn't be added, with its row number and the reason.

Up to 2,000 rows at a time. Coming from QuickBooks Online? Import from QuickBooks brings your customers over with everything else.
