Privacy Policy
Effective date: September 20, 2026
1. Who we are and what this policy covers
Wize LLC ("Wize", "we", "us") operates WizeBooks, a cloud accounting service available at wizebooks.com. This policy explains what personal information we collect through WizeBooks and our website, how we use and share it, and the choices you have.
WizeBooks is used by businesses to keep their books. When a business (our "customer") adds its own clients, vendors, employees or other people to WizeBooks, the customer decides what information to enter and why. For that information we act on the customer’s behalf, and questions about it are best directed to that customer first.
2. Information we collect
| Category | Examples | Where it comes from |
|---|---|---|
| Account information | Name, email address, password (stored by our authentication provider, never by us in readable form), two-factor and passkey settings | You |
| Company information | Business name, address, tax settings, team members and their roles | You or your company’s administrator |
| Financial records | Transactions, invoices, bills, accounts, customers and vendors you record in WizeBooks | You, or imported from your bank through Plaid (section 4) |
| Bank connection data | Account names, types, balances, masked account numbers and transaction history from institutions you connect | Plaid, with your permission |
| Uploaded documents | Bank statements, receipts and other files you upload | You |
| Billing information | Plan, billing contact and payment status. Full card numbers are handled by Stripe and never stored by us | You, through Stripe |
| Usage and device information | Sign-in times, IP address, browser type, actions taken in the app (kept in an audit log) | Collected automatically |
| Communications | Support requests and emails you send us | You |
We do not ask for Social Security numbers, full payment card numbers or government ID numbers.
3. How we use information
We use personal information only to:
- provide, maintain and support WizeBooks, including syncing bank feeds, generating reports and documents, and sending notifications you’ve set up;
- secure accounts and the service, including sign-in checks, two-factor authentication, fraud prevention and audit logging;
- bill for subscriptions and send service and account emails;
- respond to support requests;
- understand and fix problems and improve the service;
- meet legal obligations and enforce our Terms of Use.
We do not sell personal information, use it for targeted advertising, or share it with data brokers.
4. Bank connections through Plaid
WizeBooks uses Plaid Inc. ("Plaid") to connect to your bank and card accounts. When you connect an account, you give your credentials to Plaid, not to us. Plaid then sends us the account and transaction data described in section 2.
By connecting an account, you authorize Plaid to collect, use and share your data in line with the Plaid End User Privacy Policy.
The access tokens that let us fetch your data are kept on our servers, encrypted, and never sent to your browser. You can disconnect a bank connection at any time in WizeBooks. Disconnecting revokes our access through Plaid, and no further data is retrieved for that connection.
5. AI processing of uploaded documents
Some WizeBooks features use an AI service, provided by Anthropic, to read a bank statement or receipt you upload and turn it into entries you can review. Only the document you upload for that purpose is sent, over an encrypted connection. Under our commercial agreement, the provider may not use that content to train its models. We never send our customer database in bulk to any AI provider.
AI output can be wrong. Entries it suggests are shown to you for review before they’re recorded.
6. Who we share information with
We share personal information only with the service providers that run WizeBooks for us, and only as much as each needs:
| Provider | What it does for us |
|---|---|
| Supabase | Database and sign-in |
| Vercel | Hosts the application |
| Plaid | Connects your bank and card accounts |
| Stripe | Processes subscription payments |
| Resend | Sends account and notification emails |
| Anthropic | Reads documents you upload for AI entry |
We may also share information:
- within your company, with other members your company’s owner or administrator has invited;
- when required by law, such as a valid subpoena or court order, or to protect the rights, safety or property of our users, Wize or others;
- in a business transfer, if Wize is merged, acquired or sells its assets, in which case this policy will continue to apply to your information;
- with your consent or at your direction.
7. Cookies
WizeBooks uses cookies and similar browser storage that are needed to keep you signed in, remember your settings and protect your account. We do not use advertising cookies or allow third parties to track you across other websites. Blocking these cookies will stop WizeBooks from working properly.
8. Security
We protect your information with measures including:
- encryption in transit (TLS 1.2 or above) and at rest;
- optional two-factor authentication, which a company can require for all its members;
- server-side checks on every request, so users can only reach companies they belong to;
- automatic sign-out of idle sessions;
- an audit log of activity in each company.
No system is perfectly secure. If we learn of a breach affecting your personal information, we will notify you as required by law.
9. Retention, backups and deletion
- We keep your information while your account is active.
- After you close your account, we keep your data for 30 days so it can be recovered if it was closed by mistake.
- When a company is deleted, we keep it in an archive for one year to meet accounting record-keeping expectations. It is then deleted automatically.
- Copies may remain in our encrypted backups until those backups expire on their normal schedule.
- You can ask us to delete your data sooner. We’ll confirm your request and let you know in writing when it’s done, unless the law requires us to keep it.
If you download a backup of a company, that file is encrypted and needs a password to open. Once downloaded, keeping it safe is your responsibility.
10. Your choices and rights
You can view and update most of your information in WizeBooks, export your company’s data, and disconnect bank connections at any time.
Depending on where you live, you may also have the right to:
- know what personal information we hold about you and get a copy;
- correct inaccurate information;
- ask us to delete your information;
- opt out of the sale or sharing of personal information for targeted advertising (we don’t do either).
To make a request, email privacy@wizebooks.com. We’ll need to verify your identity first. If your information was entered by a business that uses WizeBooks, we may send your request to that business. We will not treat you differently for exercising these rights.
